What to include in a marine spare-parts RFQ
A few accurate equipment details can help suppliers assess a marine spares enquiry and come back with relevant questions or sourcing options.
When requesting marine spare parts, the goal is to identify the equipment and the exact item as clearly as possible. A part number is useful, but it may not be enough on its own, especially when equipment has been modified, superseded or fitted with multiple revisions.
1. Identify the equipment
Include the equipment type, manufacturer, model and serial number. If the part belongs to a larger assembly, name that system too. Photos of the equipment nameplate and the installed part can help confirm the reference.
2. Provide the part reference
Share the OEM part number, description and any revision or drawing number. If the reference is damaged or unreadable, send clear photos from more than one angle and note where the part is installed.
3. State quantity and condition
Tell the supplier how many items you need and whether new, used, refurbished or an alternative is acceptable. If you have a preference, state it explicitly. Condition, source and available supporting documents should be confirmed before purchase.
4. Confirm delivery requirements
Include the vessel, shipyard, port or final destination, along with the required date. Mention any delivery constraints or documents that need to accompany the item.
5. Attach supporting files
Relevant photos, nameplates, drawings, manuals and RFQ spreadsheets help communicate the requirement. Remove unrelated personal or confidential information before sending files.
